Our Event Policies
At Miami Grill Catering, we are committed to delivering exceptional food, professional service, and a seamless catering experience. The following policies and terms help ensure clear communication, smooth event execution, and the highest level of service for every client.
1 Final Guest Count Policy
The final guest count may not be reduced by more than 10% of the originally contracted or paid guest count and may not fall below the minimum guest requirement for the selected catering menu.
Final guest counts must be confirmed by the due date outlined in the proposal or agreement. This confirmed count will be used for staffing, food preparation, rentals, and final billing.
2 Allergy & Dietary Restrictions
While we strive to provide detailed descriptions of all menu items, not every ingredient may be listed.
If you or any of your guests have food allergies, dietary restrictions, or ingredient sensitivities, it is the Client’s responsibility to notify Miami Grill Catering in writing prior to the event.
Although we take precautions when preparing food, we cannot guarantee a completely allergen-free environment due to shared cooking surfaces, grills, fryers, and preparation areas.
3 On-Site Cooking & Venue Restrictions
Many of our catering services involve on-site grilling, woodfire cooking, frying, smoking, or food preparation.
If your venue or event location restricts any of these activities, the Client must notify us in writing before the event date so accommodations can be discussed and planned accordingly.
Miami Grill Catering is not responsible for limitations imposed by venues that are not disclosed in advance.
4 Outside Food & Third-Party Vendors
To maintain food quality, presentation standards, food safety, and service coordination, outside food items from third parties are not permitted during catered service.
This includes food prepared or supplied by:
- Another catering company
- The Client
- Friends or family members
- Private chefs or vendors
Exceptions may be made for dessert items such as cakes, dessert tables, or specialty sweets.
5 Bar Service Responsibilities
If the Client chooses to provide their own bartenders or separate bar service vendor, all responsibilities related to beverage operations become the sole responsibility of the Client or designated bar provider.
These responsibilities include, but are not limited to:
- Alcoholic beverages
- Non-alcoholic beverages
- Water service
- Cups and glassware
- Ice and mixers
- Garnishes and bar tools
- Bar setup and breakdown
Miami Grill Catering shall not be responsible for any aspect of beverage or bar service when bartenders are not provided by our company.
6 Cancellation & Postponement Policy
We understand that unforeseen circumstances may arise. The following cancellation policies apply to all events, including cancellations related to weather, illness, emergencies, or public health concerns.
Cancellations Made More Than 7 Days Prior to the Event
Clients may choose one of the following options:
- Option 1 — Event Credit: The full amount paid may be applied toward a future event date. A new date does not need to be selected at the time of cancellation. Event credits do not expire.
- Option 2 — Partial Refund: If the Client elects to fully cancel the event rather than postpone, all monies paid will be refunded minus 30% of the total contracted amount. The retained 30% covers administrative planning, staffing preparation, scheduling, and reserved event dates.
Cancellations Made Less Than 7 Days Prior to the Event
No refunds or event credits will be issued for cancellations made within 7 days of the scheduled event date.
7 Venue Fees & Additional Charges
Any additional fees, charges, or requirements imposed by the venue or property are the sole responsibility of the Client.
These may include, but are not limited to:
- Parking fees
- Kitchen usage fees
- Catering fees
- Non-preferred vendor fees
- Additional insurance requirements
- Trash disposal fees
- Security fees
- Venue-required gratuities or donations
- Staff parking expenses
8 Vendor Meals Policy
Vendor meals will be added to the entrée guest count approximately 7 days prior to the event when the final guest count and final payment are due.
Vendor meals apply to personnel such as:
- Wedding planners
- DJs
- Photographers
- Videographers
- Venue managers
- Coordinators
- Outside bartenders
Vendor meals do not apply to Miami Grill Catering staff or bar staff provided directly by our company.
9 Event Changes & Written Communication
Any changes related to:
- Final guest count
- Vendor count
- Event timeline
- Menu selections
- Service details
Must be submitted in writing via email. Verbal requests or unofficial communications may not be accepted as confirmed event changes.
10 Deposit & Acceptance of Terms
Payment of a deposit constitutes full acknowledgment and acceptance of all terms, conditions, and policies outlined in the catering proposal, invoice, agreement, and policy page.
11 Staffing & Service Standards
Miami Grill Catering provides professional staffing designed to maintain food quality, cleanliness, guest experience, and timely service throughout the event.
Staffing levels are determined based on guest count, service style, venue logistics, and event timeline. Additional staffing requested by the Client may result in additional charges.
12 Weather & Outdoor Events
For outdoor events, the Client is responsible for providing a safe and suitable environment for catering operations, including appropriate coverage from severe weather when necessary.
Miami Grill Catering reserves the right to modify cooking setups or service arrangements if weather conditions create unsafe working conditions for staff or guests.
13 Client Responsibility for Venue Access
The Client is responsible for ensuring:
- Venue access during agreed setup times
- Adequate workspace for catering operations
- Access to electricity or water if required
- Compliance with venue regulations
Delays caused by venue restrictions or lack of access may impact service timelines.
14 Force Majeure
Miami Grill Catering shall not be held liable for delays, interruptions, or inability to perform services due to circumstances beyond reasonable control, including but not limited to:
- Natural disasters
- Severe weather
- Government restrictions
- Power outages
- Emergencies
- Acts of God
- Transportation interruptions
In such cases, every reasonable effort will be made to reschedule or accommodate the event when possible.
